Privacy policy
We sell POPIA compliance, so our own privacy policy had better be exemplary. Here it is, in plain English.
The short version
- The calculators run entirely in your browser. What you type into them never reaches us or anyone else.
- We use only the information needed to run the site safely and deliver what you order.
- We collect personal information when you create an account, place an order, ask for support or choose to email a tool result.
- We never sell or share your information for marketing.
Who we are
ProperSA (propersa.co.za) provides free financial calculators and fixed price compliance packs and business services for South African small businesses. For this website, ProperSA is the responsible party for the personal information it decides why and how to process. Our information officer is the company’s director, reachable at privacy@propersa.co.za.
What we collect, and when
Using the free tools: nothing. Every calculator runs in your browser using JavaScript served from this site. The figures you enter are never transmitted, logged or stored by us.
Visiting the site: our web host keeps standard server logs (such as IP address, pages requested and time) for security and service operation, retained briefly. We also run Google Analytics on the public pages, which sets cookies and records which pages were viewed, roughly where in the world the visit came from and which site or advert sent you. It tells us which calculator was opened; it never receives the figures you type into one, because those never leave your browser. Google acts as an operator under POPIA and we have IP anonymisation on by default in Analytics 4. You can switch this off entirely with the browser add on at tools.google.com/dlpage/gaoptout or with any tracker blocker, and the site works exactly the same.
Meta pixel: we also run a Meta (Facebook) pixel on the public pages. It records which pages were viewed and when someone starts a checkout or taps WhatsApp, so we can measure our Facebook adverts. It never receives figures you type into a calculator or your order answers. Meta processes this in the United States under its own terms. A tracker blocker stops it and the site works the same.
Adverts: when we advertise on Google, the same Google tag tells Google Ads that an order was placed and what it was worth in rand, so we can see which adverts pay for themselves. It sends the order reference and the amount, never your name, email address or anything you answered in an order form. We have deliberately left enhanced conversions off, which means we do not send Google any customer detail of any kind, even scrambled. The same tracker blocker or browser add on above stops this too, and the site works exactly the same.
Using the client portal: if you create an account, we store your email address, a securely hashed password, your order details and questionnaire answers, and the documents we prepare for you. This runs on Supabase (our database and login provider, acting as an operator under POPIA) with row-level security so each client can only ever access their own records. Delete your account by emailing privacy@propersa.co.za and we remove it with everything in it.
Ordering a pack or service: we receive your email address, name and the answers you give in the order form or questionnaire. Some services need more: certified ID copies for CIPC filings, payroll figures for registrations, or work-authorisation documents for a foreign-worker onboarding request. We collect only what the specific service requires. Do not send us someone else’s identity or immigration documents unless you have their authority to do so.
Professional CV service: after payment and your clear consent, we store the contact, education, work-history and skills details you provide so we can prepare and deliver your CV. A street address is optional. We do not ask for ID numbers, banking information, health information, family details or a photo for this service. Your free CV-builder answers stay on your own device and are never sent to us.
Questions, checks and tool results: if you ask a question, request a check, leave a support ticket or ask for a tool result by email, we keep that request so a person can answer it, and we may follow up once about the service you asked about. Letters you upload for Explain my letter are deleted after delivery unless you ask us to keep them.
WhatsApp: if you choose to contact us on WhatsApp, WhatsApp's own privacy policy also applies to that conversation.
What we do with it
We use your information to deliver the pack or service you ordered, including submitting filings to CIPC, SARS, the Department of Employment and Labour or the Compensation Fund on your instruction; to invoice you; and to answer your questions. We also keep a record of your acceptance of our terms when you place an order. We do not use your information for marketing unless you have explicitly asked to hear from us, and we never sell it.
Who sees it
Our email and document storage providers process data on our behalf as operators under POPIA, bound by their agreements with us. Government bodies see what a filing requires, because that is the service. Nobody else, unless the law compels us.
Some of our operators store data outside South Africa (our database and login provider, Google and Meta). We only use operators bound by contract to protect your information to a standard at least as high as POPIA requires.
The Boet chat guide: questions typed into the corner chat are saved, without any account or name attached, so we can see what visitors look for and improve the site. If you leave a support ticket, your email address is saved with your question so a person can answer you. Chat logs live in the same Supabase environment as the portal and follow the same rules on this page.
One thing worth knowing that most filing services never mention: some CIPC filings put information on the public record, director names and addresses are searchable by anyone once a company is registered. Before we submit anything, we tell you in writing what will become public, so you know what becomes public before it does.
How long we keep it
Order records and delivered documents are kept for five years, in line with tax record keeping requirements, then deleted. Identity documents collected for a filing or verification are kept for as long as the law requires us to keep them, which for company formation and related services is five years after the matter closes, then deleted. CV questionnaire answers are kept with the paid order for up to 12 months so you can ask for a copy or correction, then deleted unless a longer period is required for a genuine dispute or legal obligation. Questionnaire emails you sent but never converted into an order are deleted within 12 months.
Your rights
Under POPIA you may ask what we hold about you, ask us to correct or delete it, object to processing, and complain to the Information Regulator (South Africa) at POPIAComplaints@inforegulator.org.za. Email privacy@propersa.co.za and we respond within a reasonable time, normally well inside the Act's timelines. Our Promotion of Access to Information Act (PAIA) manual is on the PAIA manual page.
Security and changes
The site is served over HTTPS. Order information lives in access controlled mailboxes and storage, not on the public site; the optional client portal login and database are described above. We use reasonable safeguards, but no online service can promise perfect security. If we change this policy we will change the date below, and material changes will be noted on this page.
